Arts training organisations
Organise the work around each lesson.
TrainingOS suits art, music and other arts training organisations that need learner and guardian records, group classes, private lessons, class cards and service history. It connects enrolment, operations and payments. Portfolio assessment, grading submissions and specialist teaching content require a separate scope check.

Daily operations
Keep service connected beyond the trial lesson.
Know the learner and the guardian
The person enrolling is not always the person attending. A guardian may enrol more than one child.
Record customer, learner and guardian relationships alongside trial bookings, feedback and follow-up so sales and operations use the same information.
Plan group classes and private lessons
Art groups and music lessons have different schedules. A chat announcement cannot explain every teacher, room and capacity constraint.
Schedule courses, groups, teachers, spaces and times together. Use the timetable to review conflicts and agree on the day’s work.
Follow leave through to a make-up class
A leave request remains in a chat, while staff cannot tell whether a make-up class happened or a credit was used.
Review booking, leave, make-up and attendance records with each credit deduction and remaining balance when answering a guardian’s question.
Hand over learner service clearly
When a teacher or administrator changes, previous notes, feedback and next actions can be lost in personal conversations.
Use teacher notes, learner feedback and staff tasks for follow-up. Owners can review enrolment, attendance, class-credit and payment records.

Prepare two course types
Choose one regular group and one private lesson. List pricing rules, class frequency and class-card expiry.
Link the guardian and learners
Simulate enquiries, trials and enrolment for two learners. Check the correct courses, orders and class cards for each.
Try a change and a handover
Walk through scheduling, attendance, leave, a make-up class and teacher notes. Check what a new teacher or administrator needs to see.
Reconcile both views
Review the learner’s bookings, balance and class history, then check attendance, used credits and payments from the office side.
Confirm the fit
Confirm specialist needs separately.
- Grading integrations, specialist assessments, portfolio judging and teaching materials are outside the capabilities promised on this page.
- Transfers between courses, separate material charges and shared class cards need to be checked against your actual course and payment rules.
- Validate import scope, guardian visibility and staff access during the trial. Full migration of every historical record or attachment from another system is not assumed.
FAQ
Questions from organisations like yours.
Can art groups and private music lessons be managed together?
They can be managed as separate courses and groups with their own teachers, spaces and times. Validate payment and class-card rules for each; do not assume credits are interchangeable.
What can guardians view?
The current learner mobile experience includes bookings, class-card balances, class history and feedback. Check actual visibility against guardian–learner relationships, account configuration and the agreed service scope.
How can a new teacher take over learner service?
Review the learner’s recorded classes, attendance, teacher notes and feedback, then assign follow-up work to the new colleague. Check role permissions and the records required for a useful handover during the trial.
Can we import every learner record from Excel immediately?
First review learner, guardian, course, class-card and balance fields, including missing or duplicate records. Confirm the import scope and reconcile a small anonymised sample before planning the full migration.
